Introduction

At XTEN-AV, we are committed to maintaining the highest standards of privacy, transparency, and security. AI Data Usage Policy outlines what data is used by our AI models, how it is used, and what is strictly excluded from use to protect our users and their clients.

1. Overview of AI Functionality

Our AI models are designed to enhance user productivity and accuracy by:

  • Recommending AV product connections.
  • Suggesting Bill of Materials (BoM) improvements.
  • Learning from user behavior to improve design recommendations.
  • Predicting labor requirements and settings based on historical preferences.

2. Data We Use for AI Learning

To provide personalized and efficient AI assistance, we use the following types of data:

a. Connection Data

  • Information about how users connect AV products in their line schematics.
  • Port relationships and typical inter-device connections.

b. BoM (Bill of Materials) Data

  • Products added to a BoM, their types, quantities, and sequence.
  • Patterns across different room types and project scopes.

c. Proposal Settings Data

We analyze user-defined proposal settings to tailor future suggestions. This includes:

  • Margin or markup types (fixed, variable).
  • Global margin/markup percentages.
  • Discount structures and rates.
  • Types of labor (e.g., installation, programming).
  • Labor headers, associated hourly/daily rates.
  • Average time assigned per labor head.

3. Data We Do NOT Use

We strictly exclude the following data from any AI training or processing:
  • Client Personal Information
(e.g., client names, email addresses, phone numbers, company names)
  • Dealer Pricing or Sensitive Commercial Pricing Data
Any pricing considered confidential by the user or tied to specific clients or partners is never used to train or influence our AI systems.
  • Uploaded Documents or Attachments
Any documents such as attachments, contracts, change orders or client proposals are not used in AI model training.

4. Aggregation and Anonymization
